Home Drives move to OneDrive

Summary

As part of the UNSW Cloud Transformation Program (CTP) all UNSW staff will need to change how they store and manage UNSW data and information. 

All UNSW staff have a Network Home Drive and a UNSW OneDrive.  Over the next 12 months (to the end of 2024), staff will be encouraged to move to exclusively using OneDrive for all of their working documents and files.

Moving Home Drives to OneDrive is a key step in our cloud migration solution. It will provide greater accessibility to UNSW staff's work, a secure back up of UNSW intellectual property and improved cyber resilience and security for UNSW IT infrastructure.

What is happening now - 2023

Home Drive Housekeeping - 2023

All UNSW staff still using Home Drives are encouraged to 'housekeep' their documents and files by:

  1. Reviewing all their working documents saved on their Home Drive;
  2. Saving any UNSW Business Records on an appropriate UNSW System of Record;
  3. Deleting working files no longer needed (having saved any UNSW business records);
  4. Preparing any documents and files still required - ready to move them to OneDrive.

OneDrive General Training - 2023

UNSW's Microsoft training partner - Insight - will be providing OneDrive training webinars in October and November 2023, to support staff exploring the use and application of OneDrive.

What is happening next - 2024

      Making the move from Home Drive to OneDrive

      It is currently projected that the final decommissioning of Home Drives will occur between July and October 2024. 

      Self help guides to assist UNSW staff with the move will be located on this page for quick reference in October 2023. 

      To prepare for the best migration experience, UNSW staff will move to OneDrive in two groups

      1. All UNSW staff who DO NOT access the MyAccess suite of applications (AAA) or LINUX, are encouraged to move documents and files to OneDrive, as soon as possible (once Home Drive housekeeping is complete). This group can move to OneDrive between October 2023 and July 2024.
      2. UNSW staff who access the MyAccess suite of applications or LINUX please DO NOT move your files to OneDrive until notified in 2024. MyIT will provide more information on moving to OneDrive as it becomes available in 2024 and the steps needed to take at that time. 

      OneDrive Training 

      Additional OneDrive training will be available to all UNSW staff mid-2024, to assist staff moving documents and files from Home Drive to One Drive.

      OneDrive training events - 2023

      All staff are encouraged to attend one of the 2023 special training events designed to help you get the most of OneDrive.

      These sessions have been designed to show how to maximise productivity, simplify collaboration and securely store your files on the cloud. 

      These sessions are especially useful as we progress UNSW's Cloud Transformation Program (CTP) which enables you to collaborate, work flexibly by accessing documents anytime and from nay device, and strengthen the cyber security of our technology infrastructure.

      UNSW are fortunate to have the OneDrive training sessions facilitated by Insight - UNSW's Microsoft provider, who are experts in training companies to build modern workplaces.

      These interactive online sessions are tailored for professionals to quickly and effectively experience how the OneDrive solution can help in our day to day work.

      What is covered in the OneDrive training:

      The discussion revolves around the question of whether to use SharePoint or OneDrive, as they share some of the same features. The training will cover the advantages and functionalities of both applications and the scenarios where each is appropriate. Additionally, other benefits will be explained, including real-time collaboration on Office documents, accessibility of files on all devices, targeted sharing inside or outside the organisation, and metadata customisation for quick and easy file retrieval.
